How to Write a Business Description That Customers Understand

A practical guide to explaining what your business does, who you help and where you operate, with examples for South African businesses.

You know what your business does.

The difficult part is sometimes explaining it in a few sentences.

Many business descriptions end up sounding like this:

We are a dynamic and innovative company committed to excellence, quality and customer satisfaction.

It sounds professional, but it leaves one important question unanswered:

What does the business actually do?

A useful business description should help a potential customer understand your business within seconds. It should explain what you offer, who you help, where you operate and what your main services are.

That matters on your website, social profiles, Google Business Profile and online business-directory listings.

ListMyBuzz currently includes an AEO Optimized Business Description among its business-listing features and describes the purpose of a business profile as making it easier for customers to discover, understand and contact a business.

    Quick answer

A strong small-business description usually answers four questions:

    What do you do?
    Who do you help?
    Where do you operate?
What are your main products or services?

    A simple formula is:

What you do + who you help + where you operate + what you specialise in

    For example:

Mokoena Plumbing provides residential plumbing repairs, geyser maintenance, leak detection and blocked-drain services in Centurion, Midrand and surrounding areas.

That is far more useful to a customer than saying the company provides “world-class solutions”.

    What is a business description?

A business description is a short explanation of what your business does.

Depending on where it appears, it may also be called:

    Business bio
    Company description
    Business profile
    About description
    Company overview
    Listing description

Its job is not to tell your entire company history.

Its main job is to help the reader answer:

Is this business relevant to what I need?

Imagine someone needs their leaking geyser repaired. They find two businesses.

    Business A

We are passionate about service excellence and providing innovative, affordable solutions to our valued clients.

    Business B

We provide geyser repairs, plumbing maintenance, leak detection and blocked-drain services for homes in Benoni, Boksburg and surrounding East Rand areas.

Which description gives the customer more useful information?

    Business B.

The reader immediately understands the service and operating area. That clarity is what you are aiming for.

What should a good description include?

You do not need complicated marketing language. Start with useful facts.

    1. What your business does

State your main business activity clearly. For example:

    Plumbing contractor
    Accounting practice
    Hair salon
    Guest house
    Mobile mechanic
    Photography business

Avoid making the customer decode your wording.

    2. Your main products or services

    A plumber could mention:

    Geyser repairs
    Leak detection
    Blocked drains
    Bathroom plumbing
    General maintenance

You do not need to list every small task you have ever completed. Focus on the services that best represent what customers can hire you for.

    3. Who you serve

When relevant, explain your customer type. For example:

We help homeowners and property managers...

    or:

We provide bookkeeping support for small businesses...

    or:

We offer accommodation for business and leisure travellers...

This can make the description more specific.

    4. Where you operate

For local businesses, location can be extremely useful. ListMyBuzz is built around business discovery by category and location, so a clear operating area can help customers understand whether the business is relevant to them.

Serving Sandton and surrounding Johannesburg areas.

Based in Durban North and serving nearby communities.

Mobile service available in Benoni, Boksburg and Kempton Park.

    5. A useful differentiator, when you genuinely have one

You can mention something that meaningfully helps customers understand the service. Examples:

    Mobile service available by appointment.

Catering available for private and corporate events.

    Accommodation includes secure on-site parking.

Services available for residential and commercial properties.

    Keep the claim factual.

You do not need to describe yourself as “the best”, “leading”, “number one” or “world-class”.

    Use this four-part business-description formula

When you are stuck, start here:

What you do + who you help + where you operate + what you specialise in

You do not have to use those elements in exactly that order. The formula simply makes sure your description contains useful information.

    1

Step 1: What do you do?

    We provide residential plumbing services...

    2

Step 2: Who do you help?

    ...for homeowners and property managers...

    3

Step 3: Where do you operate?

...in Centurion, Midrand and surrounding areas...

    4

Step 4: What do you specialise in?

...including geyser repairs, leak detection, blocked drains and general maintenance.

    Put it together:

We provide residential plumbing services for homeowners and property managers in Centurion, Midrand and surrounding areas, including geyser repairs, leak detection, blocked drains and general maintenance.

    Clear.Specific.Easy to understand.

Notice what these descriptions have in common. They tell the reader what the business does instead of trying to impress them with adjectives.

How long should a business description be?

There is no perfect word count for every platform. A useful rule is to make the description long enough to answer the customer's important questions and short enough to remain easy to scan.

For a short directory or profile description, roughly 40 to 80 words may often be enough.

For a fuller About section, you may have room for approximately 100 to 200 words.

Do not add filler simply to reach a word count.

Twenty useful words are better than 150 vague ones.

    Should you include your location?

For many South African local businesses, yes.

Location helps customers understand whether you can actually serve them.

    Customer-facing businesses

If customers visit your premises, your description may naturally mention the area. For example:

Independent coffee shop in Bedfordview serving breakfast, light meals and speciality coffee.

    Service-area businesses

If you travel to customers, explain the areas you realistically cover. For example:

Mobile appliance-repair service covering Benoni, Boksburg, Kempton Park and surrounding East Rand areas.

The existing ListMyBuzz online-visibility guide also recommends including natural service and location wording because it gives customers clearer information about the business.

Don't claim areas you cannot serve

A small Johannesburg plumbing business should not say: Serving all of South Africa. unless it genuinely operates nationally. A larger service area may sound impressive, but inaccurate information creates a poor customer experience.

Use the words your customers understand

Business owners sometimes describe their work using terminology customers rarely use. Your industry language may be technically correct, but the customer still needs to understand it.

For example, an air-conditioning technician may think in terms of:

    HVAC diagnostics and preventative maintenance.

    A residential customer may understand:

    Air-conditioner repairs, servicing and installations.

You can use technical terminology when it matters, but explain the service in plain language first.

    Corporate language

We are a dynamic solutions-driven organisation delivering innovative and customer-centric services.

    Plain language

We provide bookkeeping and payroll support for small businesses in Johannesburg and surrounding areas.

Should you use keywords in your business description?

Yes, when the words genuinely describe your business. You do not need to force them into every sentence.

    For example:

Residential plumber serving Centurion and Midrand.

    contains several useful terms naturally:

    Residential plumber
    Centurion
    Midrand

    Compare that with:

Best plumber Centurion cheap plumber Midrand emergency plumber Gauteng plumber near me affordable plumber.

That is difficult to read and undermines the usefulness of the description. ListMyBuzz's editorial standards prioritise natural wording, accurate information and useful content over keyword repetition.

    Write for the customer first.

    What should you leave out?

Some phrases take up space without helping the reader.

    Unsupported superiority claims

Avoid statements such as: Best plumber in Gauteng. South Africa's number-one salon. Johannesburg's leading accountant. Unless there is credible evidence supporting a specific claim, leave it out.

    Guarantees you cannot control

Avoid: Guaranteed results. Guaranteed customers. Guaranteed Google rankings. A business profile can help customers understand and contact you, but neither ListMyBuzz nor a directory listing can guarantee rankings, enquiries, customers or revenue. ListMyBuzz states this explicitly on its current package page.

    Long company histories

Your founding story may be valuable, but it does not need to appear before the customer understands what you offer. Start with the useful information. You can add the story afterwards.

    Huge lists of unrelated services

If your description says you provide: Plumbing, catering, graphic design, transport, gardening, construction, photography, accounting and hairdressing... customers may struggle to understand what the business actually specialises in. Lead with your main offering.

    All-capital writing

Avoid: WE OFFER THE BEST QUALITY SERVICE AT THE BEST PRICE CONTACT US NOW!!! It is difficult to read and can look unprofessional.

    Competitor descriptions

Do not copy another company's wording. Your profile should describe your own business accurately.

How to improve a weak business description

You do not always need to start from scratch. Take your existing description and remove anything that does not answer a customer question.

    Before

We are a proudly South African, dynamic, innovative and customer-focused company dedicated to providing excellent services and exceeding our clients' expectations at all times.

    Now ask:

    What does the business do?

    We still don't know.

    After

Apex Office Cleaning provides routine and once-off cleaning services for small offices, professional practices and commercial premises in Sandton, Midrand and surrounding areas.

That single sentence gives the reader far more information.

    Another example — Before

Quality you can trust. Service you can rely on. Your satisfaction is our priority.

    After

Mobile tyre fitting and puncture-repair services for motorists and small fleets in Pretoria East and nearby areas.

The improved version may sound less “marketing-like”, but it is considerably more useful.

Add useful detail without making the description too long

Once the basic description is clear, you can add one or two pieces of genuinely helpful information. For example:

East Rand Mobile Mechanics provides vehicle diagnostics, routine servicing and selected mobile repairs in Benoni, Boksburg and surrounding areas. We assist private motorists and small business fleets by appointment.

The second sentence adds customer type and operating process.

    Or:

Karoo View Guest House provides short-stay accommodation for business and leisure travellers visiting Beaufort West. Rooms include selected in-room amenities and guests have access to secure on-site parking.

Only include details that are accurate for the real business.

Make your description match your other business information

Your description should agree with the rest of your online presence. If your description says:

    Serving Durban North only

    but your website says:

    Serving all of KwaZulu-Natal

customers may not know which statement is current. Keep one approved version of your core business information.

    That can include:

    Business name
    Main category
    Short description
    Longer description
    Main services
    Physical location
    Service areas
    Phone number
    Email address
    Website
    Opening hours
    Social links

The ListMyBuzz visibility guide recommends maintaining a central set of approved business information and updating important profiles when details change.

    A fill-in-the-blank business description template

Use this as your starting point:

[Business name] provides [main products or services] for [type of customer] in [location or service area]. We specialise in [two to four important services] and assist customers who need [main problem solved or useful outcome]. Contact us to [appropriate next action].

You do not have to use every part. Remove anything that sounds unnatural.

    Example

BlueSky Air Conditioning provides air-conditioner repairs, servicing and installations for homeowners and small businesses in Durban North and surrounding areas. We work with selected residential and commercial systems and assist customers with cooling problems, maintenance and new installations. Contact us to arrange an assessment or request a quote.

    Shorter description template

    When space is limited:

[Business name] provides [main services] in [location/service area], specialising in [key services].

    Example

GreenEdge Landscaping provides garden maintenance and landscaping services in Randburg and surrounding areas, specialising in lawn care, planting and ongoing garden maintenance.

    Your business-description checklist

    Before publishing, ask:

    Clarity

Does the description immediately explain what the business does?
Would someone outside my industry understand it?
Have I removed vague corporate language?

    Services

Are my main products or services mentioned?
    Are they still current?
Have I avoided listing unrelated services?

    Customer

Is it useful to explain who I serve?
    Have I done so clearly?

    Location

Is my business location or service area relevant?
    Is it accurate?
Can I genuinely serve the places mentioned?

    Credibility

Have I removed unsupported "best", "number one" or "leading" claims?
Have I avoided guarantees I cannot control?
    Are all factual statements true?

    Search readability

Have I used natural service terms?
    Have I avoided keyword stuffing?
Does the description read like normal English?

    Customer action

Does the reader know what to do next?
Can they call, enquire, request a quote or visit the business?

Where should you use your business description?

Once you have written a strong core description, adapt it for the places customers may find you. That might include:

    ListMyBuzz business profile

    Use a clear directory-friendly version.

    Your website

Use a fuller About section and service-specific pages where useful.

    Google Business Profile

Adapt the copy for the information fields available to your eligible business.

    Social-media profiles

    Use a shorter version.

    WhatsApp Business

    Create a concise business summary.

The wording does not have to be identical everywhere. The important facts should remain consistent.

Create your description before creating more marketing

A business owner can spend money on websites, ads, social posts and brochures, but unclear messaging can follow the business across every channel. Get the core explanation right first.

    Write down:

    What do we do?

    Who do we help?

    Where do we work?

    What are our main services?

Once those answers are clear, creating the rest of your marketing becomes easier.

    Frequently asked questions

    The bottom line

    The bottom line

Your business description does not need to sound impressive. It needs to be understandable.

    Tell the customer:

    What you do.

    Who you help.

    Where you operate.

    What your main services are.

Use plain language. Be specific. Keep the information accurate. Then make it easy for the customer to take the next step.
