Quick answer
A good first response usually needs four things:
For example:
Hi Thandi, thanks for contacting ABC Plumbing. We'd be happy to assist. Please send your suburb, a short description of the plumbing problem and a photo if possible. Once we've reviewed the details, we'll advise you on the next step.
Short. Useful. Easy to answer.
What every customer enquiry response should do
You don't need a complicated customer-service script. A useful response normally follows this structure:
Acknowledge
Show the customer that their message has reached the correct business.
Thanks for contacting us.
Understand
Confirm what they need.
We'd be happy to help with your geyser enquiry.
Clarify
Ask for the information necessary to continue.
Please send your suburb and a photo of the geyser if possible.
Next step
Tell them what happens after that.
Once we have those details, we'll advise on the next step.
This framework works across WhatsApp, email and phone.
WhatsApp customer enquiry templates
WhatsApp Business is currently a free-to-download app aimed at small businesses, with tools for business profiles, organisation and customer responses. It also supports greeting and away messages that businesses can configure for incoming chats.
Templates can save time, but customise them enough that the customer feels you actually read their message.
New general enquiry
Hi [Name], thanks for contacting [Business Name]. How can we help you today?
If their message already explains what they need, don't ask them to repeat it. Instead:
Hi [Name], thanks for contacting [Business Name]. We can assist with your [service] enquiry. Please send us [information needed], and we'll advise on the next step.
WhatsApp quote request
Hi [Name], thanks for your enquiry. We'd be happy to look at a quotation for you. Please send us the following details:
- Your suburb or location
- A short description of what you need
- Photos or measurements where relevant
- Your preferred date, if timing matters
Once we've reviewed the information, we'll let you know what happens next.
Only ask for information you genuinely need. A salon shouldn't ask someone for their street address just to quote on a haircut.
WhatsApp service-business examples
Plumber
Hi Kabelo, thanks for contacting Mokoena Plumbing. Please send your suburb, a short description of the problem and a photo or video if possible. We'll review it and advise whether we need to arrange a call-out.
Mobile mechanic
Hi Lerato, thanks for getting in touch. Please send the vehicle make and model, your location and a brief description of the problem. If any warning lights are showing, a photo can also help.
Photographer
Hi Sarah, thanks for your photography enquiry. Please send the event type, date, location and approximate hours of coverage you're looking for. We'll then check availability and advise on the next step.
WhatsApp booking enquiry
Hi [Name], thanks for getting in touch. Which service would you like to book, and which day or time are you looking for? We'll check availability for you.
If you have a live booking system:
Hi [Name], thanks for your enquiry. You can view the available appointment times here: [booking link]. If you're unsure which service to select, tell us what you need and we'll help.
ListMyBuzz's current Growth Tools include online booking, calendar integration, reminders and rescheduling functionality where configured.
WhatsApp after-hours message
Don't promise an exact response time unless you can reliably meet it.
Thanks for contacting [Business Name]. We're currently closed. Our normal business hours are [hours]. We've received your message and will review it when we're back.
WhatsApp Business currently allows businesses to schedule configurable away messages, including outside business hours.
WhatsApp missed-call response
Hi, this is [Business Name]. We noticed that we missed your call. Sorry we couldn't answer at the time. Please let us know how we can help, or tell us a suitable time to call you back.
If the business deals with urgent and non-urgent enquiries:
Hi, this is [Business Name]. We missed your call. Please send a short description of what you need and your location. If the matter is urgent, please mention that in your reply.
Don't send this
Hi
and then wait for the customer to explain everything again. If they already wrote:
Hi, I need a quote to repair a leaking geyser in Boksburg.
respond to that information. For example:
Hi, thanks for contacting us. Yes, we can look at the geyser repair for you. Please send a photo of the geyser and tell us whether it is currently leaking.
The difference is small, but the second response shows that you've read the message.
Email customer enquiry templates
Email usually gives you more space than WhatsApp. That doesn't mean every response needs to become an essay. Use a clear subject line, respond to the actual request and make the next step obvious.
New enquiry email
Subject: Re: Your enquiry to [Business Name]
Hi [Name], Thanks for contacting [Business Name]. We'd be happy to assist with your enquiry about [service/product]. To help us advise you properly, could you please send us [required information]? Once we've received that, we'll review the request and let you know the next step. Kind regards, [Name] [Business Name] [Contact details]
Quote request email
Subject: Information needed for your quotation
Hi [Name], Thanks for requesting a quotation from [Business Name]. Before we prepare it, please send us the following information: • [Requirement 1] • [Requirement 2] • [Requirement 3] If you have photos, measurements, specifications or other relevant documents, you're welcome to attach them. Once we have the information, we'll advise on the next step. Kind regards, [Name]
Quote sent email
Subject: Your quotation from [Business Name]
Hi [Name], Thanks for the opportunity to quote. Please find your quotation attached. It covers [brief scope]. If anything is unclear or you'd like us to explain any of the items, please reply to this email or contact us on [contact method]. Kind regards, [Name]
Don't add: "We look forward to receiving your immediate acceptance." unless there is a genuine reason for urgency.
Email follow-up after sending a quotation
Subject: Checking in on your quotation
Hi [Name], I'm checking that you received the quotation we sent on [day/date]. Please let me know if there's anything you'd like clarified or if you need additional information before making a decision. Kind regards, [Name]
That is usually more useful than: "Have you decided yet?"
Appointment confirmation email
Subject: Appointment confirmed: [date/time]
Hi [Name], Your appointment with [Business Name] is confirmed for: Date: [date] Time: [time] Location: [address / online / customer site] Service: [service] If anything changes, please contact us on [contact method]. We look forward to assisting you.
Keep appointment information easy to scan.
Phone enquiry scripts
A phone call should sound like a conversation, not like someone reading a corporate script. The purpose of a phone template is to make sure you don't forget important steps.
Basic incoming call
"Good morning, [Business Name], you're speaking to [Name]. How can I help you?"
Then listen.
Don't interrupt the customer with five questions before you understand why they called. Once they've explained:
"Thanks, I understand. Let me get a few details so we can advise you properly."
Then ask only the questions you need.
Phone enquiry for a service business
Customer
"My geyser is leaking. Can you help?"
Business
"Yes, let's get a few details. Which suburb are you in?"
Customer answers.
"And is the geyser still actively leaking at the moment?"
Customer answers.
"Thanks. I'll take your name and contact number, and then I'll explain what the next step is."
The script gives structure without making the conversation unnatural.
Phone quote request
"I'd be happy to help you with a quotation. Before we prepare it, I need to understand the job properly. Can I ask you a few quick questions?"
Then collect the necessary details. At the end:
"Thanks. We've got the information we need for now. The next step is [site visit / review / quote preparation / callback]. We'll contact you through [channel] once that's done."
The customer should know what happens next.
What information should you collect?
Don't collect information simply because your form has space for it. For many businesses, the essentials might include:
If you're using a CRM or enquiry tracker, record the information there rather than leaving important customer details only in someone's memory or personal WhatsApp account. ListMyBuzz's Growth Tools currently include CRM workflows and a unified communication environment for selected email, SMS, WhatsApp and social conversations.
Template when the customer hasn't provided enough information
Avoid:
Need more info.
Try:
Thanks for your enquiry. Before we can advise you properly, could you please send your location, the service you need and a photo if relevant? Once we have that, we'll be able to guide you on the next step.
Or by email:
Thanks for getting in touch. We need a little more information before we can assess the request. Please send [required information], and we'll review it from there.
Template when you need time to investigate
You don't always need an immediate answer. If you genuinely need to check availability, pricing, stock or technical information:
Thanks for the details. I need to check this before giving you an accurate answer. I'll review it and get back to you once I have the correct information.
If you can reliably provide a time:
I'll confirm this for you by tomorrow afternoon.
Only promise deadlines you can keep.
Template when you cannot help
A professional response can still leave a good impression.
Thanks for contacting us. Unfortunately, we don't provide that particular service, so we don't want to mislead you. We appreciate you considering us.
If you have a genuinely appropriate referral:
We don't provide that service, but you may want to look for a [type of provider] in your area.
Don't invent a recommendation simply to fill the conversation.
Outside service area and fully booked responses
Template when the customer is outside your service area
Thanks for getting in touch. Unfortunately, [location] falls outside our current service area, so we wouldn't be able to assist with this job. We appreciate your enquiry.
Clear and respectful.
Template when you're fully booked
Instead of:
Fully booked.
Try:
Thanks for your enquiry. We're fully booked for [requested date], but our next available appointment is [date/time]. If that works for you, I can help you with the next step.
If there is no alternative:
Unfortunately, we don't have availability within the timeframe you need. Thanks for considering us.
Don't pressure the customer to accept a date that doesn't suit them.
Delayed response template
Sometimes the business is the one that replied late. Acknowledge it.
Hi [Name], thanks for your message, and apologies for the delayed response. If you still need assistance with [service], we'd be happy to continue from here.
Don't spend three paragraphs explaining how busy you were. Focus on helping.
Missed enquiry from several days ago
Hi [Name], we've just picked up your enquiry about [service]. Apologies that we didn't respond sooner. If you still need assistance, please let us know and we'll pick it up from here.
If they've already found another supplier, accept that professionally.
Complaint response template
Complaints need more care than ordinary sales enquiries. A useful first response should normally acknowledge the concern and move toward understanding the issue.
Hi [Name], thanks for letting us know about this. I'm sorry to hear that you're unhappy with [brief issue]. I'd like to understand what happened so we can review it properly. Please send me [relevant information], and we'll look into it.
For public complaints or reviews, move detailed conversations into an appropriate private channel once you've acknowledged the issue.
Customer enquiry received through social media
Social-media comments can expose private conversations unnecessarily. If someone comments:
How much?
You can give public information if the price is standard and suitable for public display. If you need customer-specific details:
Thanks for your interest. The price depends on [relevant factor]. Please send us a direct message with [information], and we'll assist you there.
Don't ask customers to post phone numbers, addresses or sensitive details publicly.
A useful WhatsApp greeting message
WhatsApp Business currently supports configurable greeting messages for first-time contacts and certain conversations after periods of inactivity. A useful greeting could be:
Hi, thanks for contacting [Business Name]. We've received your message. Please tell us briefly what you need help with, and a team member will respond during our business hours.
Avoid: "Welcome to the best company in South Africa! You're about to experience world-class service!" The first version provides useful information.
Should you use automated replies?
Yes, where they solve a genuine communication problem.
Automation can be helpful for:
ListMyBuzz currently offers growth tools for automated email and SMS sequences, reminders, CRM workflows, booking, lead capture and unified customer communication.
But an automated response should not pretend to have solved something that still needs human attention.
Avoid messages such as: "Your problem has been resolved." when nobody has reviewed the enquiry yet.
Better: "We've received your enquiry and will review the details."
Templates should sound like your business
Don't copy every example in this article word for word. A law firm, mechanic, beauty salon and restaurant should not all sound identical. Your templates should reflect:
The purpose of a template is consistency, not robotic communication.
Create quick replies for repetitive questions
If customers constantly ask the same questions, create approved responses. Common examples include:
WhatsApp Business specifically provides messaging tools intended to make it easier for businesses to respond to customers. Just make sure the saved answer is still accurate. A quick reply containing last year's operating hours is not very useful.
Give every enquiry a next action
The best response in the world still fails if nothing happens afterwards. Every active enquiry should ideally have a next step such as:
This is where the lessons from the related articles come together. Communication is one part of the system. Tracking what needs to happen next is another.
When templates are no longer enough
A few saved responses may be enough for a one-person business. As the business grows, you may find yourself managing:
At that point, the problem becomes less about writing the right message and more about connecting the entire enquiry process.
Where ListMyBuzz Growth Tools fit
ListMyBuzz's current Growth Tools are designed around calls, messages, CRM workflows, lead follow-up, booking, website lead capture and unified communication. That can support businesses that have moved beyond purely manual enquiry handling.
When broader implementation support may help
Some businesses eventually need their website form, CRM, customer response, follow-up, booking and task management to operate as a connected system. Businesses that need that broader setup can get professional digital support from DMA101, which currently offers CRM setup and workflow automation alongside websites, AI chat, AI voice and related digital systems.
ListMyBuzz remains the directory, discovery and business-growth platform. DMA101 is the supporting professional implementation partner where a more customised digital system is required.
Responding to an enquiry is not the same as ongoing marketing
If someone contacts you for a quote, responding to that request is part of the enquiry. That does not mean you should automatically add the person to unrelated promotional campaigns indefinitely.
South Africa's Information Regulator states that POPIA regulates unsolicited electronic direct marketing, including channels such as email, SMS and telephone, and its guidance addresses when consent is required.
Keep enquiry-related communication and ongoing marketing conceptually separate. If your business uses customer contact details for campaigns, broadcasts or other direct marketing, review the current Information Regulator guidance and obtain professional compliance advice when required.
Customer enquiry response checklist
Before pressing send or ending the call, check:
Have I understood the enquiry?
Is my response useful?
Is the next step clear?
Is the message professional?
Is customer information handled appropriately?
Frequently asked questions
The bottom line
The bottom line
You don't need a complicated script to respond professionally. Remember four steps:
Acknowledge.
Understand.
Clarify.
Explain the next step.
Use WhatsApp templates for short customer conversations. Use email when more detail or documents are needed. Use phone calls when a conversation will resolve the issue faster.
Save templates for repetitive enquiries, but personalise them enough that the customer knows you've actually read or heard what they said.
Then record what happens next.
Because a good reply doesn't end with "Thanks for contacting us." It ends with both the business and the customer knowing what the next step is.

ListMyBuzz Growth Tools include selected CRM, customer communication, booking, call handling and follow-up functionality designed to support a more organised customer journey.
Customer communication, templates, CRM systems and automation do not guarantee enquiries, bookings, customers, sales or revenue. Results depend on customer needs, demand, service quality, pricing, availability, implementation and customer response.
